Getting started
- Install the app from the monday marketplace (or your install link). Approve the requested permissions.
- Open a board, click the + next to your board views, and add the “Sphior Console” view.
- On first use, the board view opens with a Board Health card and tabs: Duplicates · Find & replace · Bulk archive · Export · Recurring · History.
- (For exports) Connect Google Drive: open the Export tab and click Connect Google Drive. We use the minimal
drive.filescope — access is limited to files this app creates in your Drive.
Board Health
The card at the top scores your board’s duplicate groups, empty-cell rate, and stale-item rate (items not updated in 30+ days). Use Clean up to jump to Duplicates or Archive to jump to Bulk archive. Click Rescan to recompute.
Clean up duplicates
- Go to Duplicates.
- Pick one or more Key columns (or Item name) that define a duplicate.
- Choose which item to keep (newest or oldest). Optionally enable Fill blanks from duplicates to copy missing values into the survivor, and Trim / Lowercase to normalize matching.
- Click Preview (dry-run) — nothing changes. You’ll see each group with the row that Keeps and the rows that Archive.
- Click Merge & archive and confirm. Duplicates are archived (not deleted).
- To reverse it, open History and use Undo cells or Restore items (see History, Undo & Restore).
Find & replace
- Go to Find & replace.
- Pick the columns to search, enter Find and Replace with text (optionally Match case).
- Click Preview to see affected cells, then Replace to apply.
- Reversible with one Undo.
Bulk archive
- Go to Bulk archive.
- Set a condition — e.g. a column equals one of some values, and/or created before a date.
- Click Preview to see matching items, then Archive.
- Archived items stay recoverable from monday’s board Archive, and Sphior can re-create them (Restore).
Export & backup
- Go to Export. Connect Google Drive if you haven’t.
- Choose a format (CSV / Excel / JSON).
- Export now delivers the board to the “Sphior Exports” folder in your own Drive.
- To automate, save a weekly or nightly schedule — exports run unattended and deliver to your Drive.
Recurring items
- Go to Recurring.
- Enter an Item name, choose Repeat (daily / weekly / monthly) and Time.
- Save recurring job to schedule it, or Create one now to add an item immediately.
- Items are created automatically on schedule.
History, Undo & Restore
Every run is logged in the History tab as an audit trail (module, status, time, what changed). From a run’s ⋯ menu you can:
- Undo cells — revert merged/replaced cell values.
- Restore items — re-create archived items on the board (new items; some complex columns may not carry over).
- Details — see exactly what changed.
Plans & pricing
Feature-based tiers, billed per account through monday: Free (preview only), Starter $9/mo, Pro $29/mo, Business $79/mo. Dry-run previews are free on all plans; execution and scheduling unlock with a paid plan. Upgrade from Settings → Plan.
Data & privacy
We do not store your board data. Board content is processed only while an action runs and then discarded. The one exception is Undo snapshots, saved before a destructive action so you can undo/restore — kept with a 30-day TTL and auto-deleted. You can delete them immediately in Settings → Data & privacy. Uninstalling the app purges all your data.
Permissions
- monday: read/write boards, archive items, read account/user, send notifications (for job-failure alerts).
- Google:
drive.fileonly — files this app creates in your Drive.
